User GuideHow to work with the Pronett Portal
Using the Pronett PortalBrowsing the Pronett siteThis site is designed to be easy to use and understand, so these notes are brief. It is suggested for this site that you use a recent browser as Pronett makes use of current browserstandards and techniques. Joining PronettJoining the Pronett site gives you the right as a Member to add content to that site, such as images, documents and so forth. To join the site, select the join option found in the top right hand corner next to log in. This will bring up the join form, for you to complete. You will note a few things about this form if this is the first Pronett form you have encountered. A red square next to the label of an input field means the field is required. When you select a field help will popup to the left of the field to help you complete the field.
Once you have completed this form Pronett will send you a password. Logging InTo login select the Forgotten passwordIf you have forgotten your password it can be emailed to you. If you have not specified a valid email address upon registering you will be unable to be mailed your password. In this case you will need to contact your site administrator. You can get the password mailed to you by clicking on the Logging outOnce you are logged in to the Pronett site, in the upper right hand corner you will see a link to Adding and editing a documentIn your Workspace you can enter content. Choose from the available content types. Although there are many different types of content, below we just discuss adding and editing a document. The same processes are true for almost all types of content. Adding a documentThe most common form of content entered is a document... Editing a documentOpen the document you want to edit and click on the Edit Tab Assign properties / metadata / keywords to a documentAdding and editing other forms of contentThere are several forms of content that come by default in the Pronett site and whilst its not worth listing how to edit all these in detail, a brief discussion of each content type follows. ImageImages are graphical pieces of content. This content type usually ends with an extension such as: gif, jpg, png, tif or pict. Images can be displayed inside of the Pronett site without having to download them to the local computer if the image type (extension) is viewable in the users web browser. It is noteworthy that often Macintosh .pict files are not viewable by Microsoft browser platforms by default. FileA file is any arbitary file that can be uploaded from your filesystem. This could be a plain text file or any sort of document such as Microsoft Word, Excel Spreadsheet, PowerPoint Presentation, Acrobat PDF and so on. LinkLink objects are the primary way for users to share URL's. These URL's can be internet resources or local resources. Links can contain metadata like any other content object. Please note that if you are going to link to a internet resource you should preface your link with the suitable protocol (e.g. http://) else your link can possibly be incorrect. FolderContainers are the simplest and more powerful mechanism to organize content resources. A Folder is a container that can house any sort of content object such as Files, Documents or any other content type. By default all content types can be added to a Folder. News ItemNews Item's are commonly used in almost all websites. Published News Items show up in order of creation in reverse chronological order in the Sort the folder listing
Discussing contentAny piece of content in the Pronett site can be discussed. A member who has created a piece of content can control the ability to discuss it by clicking on the Searching for contentThere are two ways to search for content in the Pronett site. The top of your Pronett site there is a search box. This box only allows you to search for keywords in the body or title of the Content Management System (CMS). This is very powerful and often works. In your Workspace the option Your preferencesIn your personal bar at the top of your Pronett site is a my preferences link that brings you to the at anytime you are allowed to change the email address associated with your account. This is used in a number of places in the system. Most importantly if you lose or forget your password this is the address the system would email you your password if your went to the Forgot my password link. Content editorsometimes if you are editing complex content you may need the help of an editor. By default the system offers two editors. Since the mantra of Prontett is Keep It Simple it is often not necessary to use an editor. These editors usually allow users to more visually work with content outside of using the rules of Structured-Text or requiring knowledge of HTML. Listed statusSpecifying this will determine if your profile will show up in the Members tab. If there is not a listing of Members the Listed status will also factor in whether or not someone can search for your name in the Form HelpEach data entry field is loaded with a pop-up box that provides context-sensitive help. This is very useful for newcomers to the system as they will be notified of the usage of a particular form field when they are filling it out. Experts who do not want to be prompted for help can turn these boxes off by selecting No. PortraitIn larger organizations it is important to be able to visually see another persons image. This allows for people to see who they are working with and gives people a chance to follow up in person if needed. This works especially well in community and intranet environments. |
